This agreement explains how we, OurMind B.V., handle your personal data when you use our services, in compliance with the General Data Protection Regulation.

1. What Data We Collect:

We may collect the following types of personal data:

• Contact Information: Your name, email address, and any other details you provide.
• Usage Data: Information about how you use our service.
• Health Data (if applicable): Information related to your medical consultations, including audio recordings and reports.

2. Why We Collect Your Data:

We use your data to:

• Deliver and improve our services, including generating reports from your interactions.
• Ensure the safety and security of your data.
• To provide support services to you, your employer or organisation.
• Comply with legal obligations and protect your vital interests.
• To update you with the latest information about our products or services.

3. Data Retention:

• Audio Recordings: We delete audio recordings immediately after generating transcripts.
• Transcripts and Reports: Transcripts and reports are stored for up to seventy-two hours, giving you the opportunity to review and download them. After this period, they are permanently deleted. If you prefer, you can choose to have the transcript deleted immediately after your consultation is closed, via the opt-out option in your profile settings.
• Report Edits: We store anonymised version of the reports and edits to maintain and improve the quality of the service, address bug and issues. If you prefer, you can opt-out of this option in your profile settings.
